In a successful collaboration, Access Bookings and sister company, Access Travel Management, joined forces to ensure the successful participation of the BBC talent and production team at the Euros 2024 in Germany.
This coming together of different services followed a successful tender and involved a meticulously planned 12-month project, which included meeting with the BBC team to understand their travel and accommodation expectations, conducting an initial recce to check the suitability of hotels for presenters and crew, and managing the logistics of travel for 200 passengers for a combined total of 7,000 nights!
Planning Phase
The 12-month planning phase was crucial in understanding the unique needs of the BBC. The company’s specialist teams, who have more than a decade of experience, met with BBC representatives to discuss and document their travel and accommodation requirements and this understanding was essential in ensuring that all aspects of the trip were covered comprehensively.
The initial recce involved visiting potential hotels across Germany to evaluate their suitability for the presenters and crew of the Euros 2024. Key factors included location, ease of access, and costs. Each hotel was scrutinised to ensure it met the high standards required for the BBC team.
Accommodation and Travel Arrangements
Once the hotels were confirmed, the team shifted its focus to travel arrangements. Given the BBC’s commitment to sustainability, train travel and accommodation for all 200 passengers with most traveling from either London or Manchester, was organised.
This effort not only supported sustainability goals but also provided a comfortable and efficient mode of transport for the team.
Upon arrival in Germany, internal travel and movements were managed seamlessly, incorporating taxis and trains to ensure smooth transitions between locations. The logistics of travel were handled to perfection, with every detail meticulously planned and executed.
On-the-Ground Support
The first crews began their journey to Germany on 26th May, followed by the next group on 7th June, in preparation for the Euros kicking off on 14th June. Throughout the championships, an Access Bookings crew was on the ground in Germany to provide round-the-clock support. This presence was pivotal in managing any last-minute changes to hotel and travel bookings, as well as mitigating potential delays.
Execution and Success
The BBC placed immense confidence in Access Bookings and Access Travel Management to ensure their teams made it to Germany and back, having managed and filmed one of the biggest football tournaments in the world. The team’s dedication to providing 24/7 in person support and handling every aspect of the trip with precision ensured the success of this monumental event.
